Delegates representing the CODATA members, and having the right to vote, were invited to cast their votes prior to or during the General Assembly and to participate in the live Executive Committee Members. The Data Science Journal editor in chief, co-chair of CODATA Connect and an exComm member 2018-2025 (not eligible for reelection)  witnessed the online voting process as internal independent tellers.

Preparations for the General Assembly

Given the above outline of the CODATA GA agenda and the (live) votes planned on 17 October, onsite participation of voting Delegates was strongly encouraged. In case onsite representation would not be feasible, exceptional participation online was possible on the first day of the General Assembly, but the voting Delegates joining virtually had to be prepared to cope with the timezone difference.

Registration for the CODATA General Assembly (separate from the IDW 2025 registration) closed on 18 September for onsite attendance and on 15 October for virtual participation.

Two virtual sessions to address CODATA reporting and necessary briefing ahead of the General Assembly were organised on 2 October. More information about the sessions.

The Call for Nominations of candidates for CODATA elections 2025, and related procedures, was published on 8 April 2025.  The call for Task Groups 2025-27, was published 17 April 2025. The deadline for the Nominations and Task Group proposals was 17 June 2025, in line with the terms set by the CODATA constitution

The following documentation, in support of the matters for voting has been circulated to the voting Delegates on 22 August 2025:

  • Electoral slate as endorsed by the Nominating Committee; the actual nomination forms and CVs of the candidates for the CODATA Officers and ExComm Ordinary Members open positions.
  • The Task Groups applications for 2025-2027; summary of these proposals; recommendation of the Executive Committee.
